In order for an event to be included in this calendar, it must meet six requirements. All events must:
1) Have a stable, publicly-available, online community or collection where the scope/rules/schedule can be found.
The community/collection can be on any site (Twitter/Tumblr/Dreamwidth/ Livejournal/AO3/Reddit/etc.) as long as a link can be shared and the information is available even to people who do not use that site. Events that happen in Discord-only or friends-locked settings will not be included, both to keep private events private and to avoid clogging the calendar with events that most people can't participate in anyway.
2) Have run to completion in the last calendar year and/or have a posted or on-going schedule for the current calendar year.
This requirement was written in February 2021, and this means: any eligible event must have run to completion within 2020, be actively running in 2021, or have a schedule up for 2021. Events that ran in 2019 but not 2020 due to a planned or announced hiatus ("gap year") will be watched to see if a schedule for 2021 materializes, but won't be included otherwise. Events that ran in 2018 or earlier are considered "dead events" and will not be checked for updates.
Note added 3/6/21: Flash exchanges are a special case. Please see the FAQ for further details.
3) Have a mod/mods that did not go MIA during the running of the event.
The "gap year" premise of requirement #2 does not apply if the mod(s) went missing/silent while the event was running. The mods may never return or they may return only to run the event during different dates; since I can't be sure of either, these events will not be added to the calendar until more information is available.
4) Have a set schedule (or a past set schedule, for estimated dates.)
All events must have a start (nominations/sign-ups/post on FandomCalendar announcing the event, etc.) and end date (due date/reveals/collection closing, etc.) to be considered an "event." While I am happy to include communities/fests that open and then never close (such as the Don't Know Canon Femslash Rec Fest) on the Google Sheet, they will not be included on the calendar. However, events that run all year (such as the Bite Sized Bits of Fic Fest) ARE allowed if they have a set schedule that they follow, even if it's a long one.
Due to this rule, kinkmemes and promptmemes are not included on the calendar as events. However, if you wish to keep track of your fandoms' kinkmemes and promptmemes, you may submit them using the Event Nomination Form, and they will be added to the kinkmemes/promptmemes tab of the events spreadsheet. (Specific events that are run on a kinkmeme are, of course, allowed.)
5) NOT have excessive content restrictions unrelated to the theme of the event
"Excessive" in this case means "more than 3." It is not my business if a mod wants to ban underage or RPF or a specific pairing, but if more than three (3) content restrictions are included in an event, it must be part of the event theme to be considered eligible by default, and events with more than three (3) content restrictions will be included on a case-by-case basis. If you disagree with an event not being included, email me at fanwork.events.calendar@gmail.com and I will review the decision.
Examples:
Eligible
• A fluff exchange bans underage, major character death, graphic violence, and rape/noncon.
• A specific-fandom fest bans RPF, underage, and major character death.
• A specific-fandom fest bans RPF, underage, major character death, and crossovers.
• A consensual sex fest bans underage, rape/noncon, and hero/villain pairings.
• A small fandom exchange bans crossovers, original works, and RPF.
• A specific-character (X) fest bans rape/noncon, underage, and puppies.
• A "Character Y Not Included" fest bans all content and pairings involving character Y.
• An A/B exchange bans A/other pairings, B/other pairings, and rape/noncon
Not eligible
• A fluff exchange bans underage, major character death, graphic violence, rape/noncon, and sexual content.
• A specific-fandom fest bans RPF, underage, major character death, crossovers, and pairing X/Y.
• A consensual sex fest bans underage, rape/noncon, hero/villain pairings, watersports, and Dom/sub.
• A small fandom exchange bans RPF, sexual content, graphic violence, and religious themes.
• A specific-character (X) fest bans all pairings involving character Y.
• An A/B exchange bans all C/other pairings.
• An "Anything Goes!" exchange bans tags with monkeys, watersports, spiders, and clowns.
• A multifandom big bang bans incest, rape/noncon, bestiality, and underage.
General decency restrictions such as banning works containing homophobic or transpobic slurs, depictions of violent hate crimes, Nazi ideology, etc. will not count towards this limit.
6) NOT be run with intention to exclude/bully/harass either groups of fans or specific named fans, OR be promoting hate in other ways
These are rules that apply to the participants rather than the fanworks they produce. If an event is set-up with rules that are intended to keep "bad fans" from participating in good faith, it won't be included in the calendar.
Examples:
Eligible
• No underage content allowed in the exchange
• All content must be focused on A/B
• All content must be for Fandom X
Not eligible
• Nobody who ships an adult/teen pairing is allowed to participate
• Nobody who ships A/C is allowed to participate
• Nobody in Fandom Y is allowed to participate
• A fest about Nazi ideology
Etc.
The exception to this is events that are 18+ or events where the participant's status as part of the community are included in the theme (such as a fest about POC characters for fans who are POC.) This will also be reviewed on a case-by-case basis.
